We can add them to the lease, but then they would need to apply, pay application fees, qualify and sign a lease. Then they will be financially responsible. ​ ​ AUTOPAY Tenants are responsible for activating, updating, and deactivating auto-pay. The Manager has no control of this feature. ​Don't forget that you set up auto-pay and also pay manually. The system will sweep the payments exactly as you program regardless if you made an additional payment. ​If you set up two auto-pays, AppFolio will charge twice. ​ ​ OVER-PAID RENT If you accidentally pay twice, you will not lose the money. ​The system will automatically apply the funds to future bills.     Work Orders and Vendor Payables Working on a Team Communication is simple when you work face-to-face with a homeowner who can see your work in person and hand you a check once the work is complete. Most people can handle verbal in-person communication. ​ Verbal communication is not efficient when working on rentals because there are multiple people involved. (Tenant, Manager, Contractor, Bookkeeper, & Property Owner) ​ The goal of our process is to provide the info that each person needs in an efficient, accurate, & replicable manner. For example: Manager approves and assigns Work Orders Contractor schedules with Tenant directly Contractor delivers an invoice that explains to Property Owner what was accomplished Bookkeeper pays Contractor & includes the invoice in the monthly Owner Statement ​ ​ If we get this right, the owner will not need to call to ask questions about the work performed. That's why it's created the procedures. Work Order Procedures ASSIGNMENT ​ We will email you a PDF of the Work Order once assigned High-volume vendors get a weekly report of all open Work Orders ​ ​ TOTAL JOB COST & BIDDING ​ Manager & Vendor are not authorized to perform work if the total cost of time & material exceeds $500 Jobs that cost more than $500 must be bid between multiple Vendors. If we email you a Work Order and upon arrival, you determine that the job will cost more than $500. Do not start work. Email a bid to our office. Manager will reply to that email with "APPROVED". No response to your email means Not Approved. If you take action without receipt of the "APPROVED" email, we can not pay you for the work. ​ ​ SCHEDULING Per the Uniform Residential Landlord and Tenant Act of Tennessee, the landlord/manager (and therefore the maintenance team) must give 24-hour notice to tenants before arriving at the property. Manager requires Vendors to schedule a time directly with tenants for the tenant to let you in to do the work. Manager does not schedule appointments for Vendor. Vendor cannot bill the landlord for scheduling errors or missed appointments regardless of cause. Do not enter a property without at least one of the tenants listed on the work order being present. For exterior work, just call or email the Tenant to notify them that you will perform work on the exterior of the property, that you don't need interior access, and they don't need to be home. If you can't reach the tenant, notify us so we can get involved. ​ ​ PICTURES Take before & after pictures to show the landlord what you accomplished Attach before & after pics to the Work Order in Appfolio. ​ ​ COMPLETE WORK Read the work order & complete the work as described If you have questions, call Kyle CLEAN UP Cover your boots with disposable booties so you don't track stuff in the home. Vacuum and sweep up any mess Remove all trash when you leave. Small trash can go in the tenant's garbage but large objects must be removed. Email your invoice to our office. ​ ​ DIRECT DEPOSIT Bills Bills are created daily based on the invoices received Invoices that require follow-up questions take longer because Manager will need time to follow up with Vendor. Payables Our bookkeeper processes Vendor Payables once per week. This automatically includes all Invoices for all Vendors. If total payables are less than $250, they will be combined with next week's payables to reduce the direct deposit processing fees charged to the Manager by Appfolio. Vendor Basics PROFESSIONALISM Treat the tenant with kindness & respect. If they don't treat you that way, alert us and we will deal with them. ​ NO PROMISES Vendors are subcontractors hired to perform a specific task and not authorized to commit us to perform any work other than that which is listed in the work order. Vendors are not authorized to communicate with Tenants about anything other than explaining the work that was completed.     How to Qualify The following applies to all applicants No exceptions AGE The minimum age to rent a single-family residence or duplex is age 21. Ages 21 to 24 may be required to purchase a renters bond based on property. The minimum age to rent a multi-family unit is age 23. ​ ​ APPLICATION Each adult who will reside in the home more than 7 nights per calendar year must submit an application on our website, pay the application fee, meet all the qualifications listed on this page, and pass the background check. We do not run background checks until applications for all adults that will reside in the home have been submitted Valid ID must be attached for all those over age 18. Dependents: Each dependent age 18-69 must complete a rental application, qualify in terms of credit, criminal and eviction history, and be listed on the guardian's tax return . Dependents over age 70 do not need to apply. ​ ​ APPLICATION FEE The Application fee is non-refundable. It's Applicant's responsibility to read this page and ask questions before applying. ​ APPROVAL PROCESS We take the first qualified and approved, individual or family (hereafter referred to as Applicant) who is ready to sign a lease, pay the deposit by the end of the day after the lease was created, and begin paying rent when the home becomes available. If multiple Applicants are approved simultaneously, then the highest financially qualified Applicant, in terms of credit, income, and financial reserves will have the first opportunity provided that they take action. We do not reserve homes or apartment units. ​ BACKGROUND CHECKS We do not accept credit reports submitted by applicants. We pull credit, criminal, and eviction background checks through our software vendor which is connected with Experian. The two other credit reporting agencies may have higher or lower scores but we don't consider those scores. This is a "hard inquiry" on your credit. If that is not acceptable, do not submit a rental application. ​ ​ BANKRUPTCIES Closed bankruptcies are OK. Open bankruptcies are automatic decline. ​ ​ BUSINESS USE Telecommuting, computer, or clerical work is allowed. Business activity involving any of the following is not allowed: agricultural, animals, kennels or pet sitting, any business that uses highly hazardous chemicals, "toxics" and "reactives" as defined by OSHA; automotive; child services of any kind; counseling or therapy; hospitality; manufacturing; massage; physical therapy; nursing, hospice, adult daycare or any other caregiving; or any other business where clients, co-workers or employees conduct business at premises. This requirement does not constitute a guarantee or representation that those currently residing in our homes and apartments have not been convicted of, or are subject to deferred adjudication for a felony or sex offense requiring registration under applicable law. There may be Residents that have resided in one of our homes before this requirement went into effect; additionally, our ability to verify this information is limited to the information made available to us by the background services used and at the time the background check was pulled. ​ ​ EVICTION HISTORY Applicants are automatically declined if any eviction activity is found on the background check, regardless of the date, judgment results, or judgment amount. That means if an eviction has been filed against you, your application will be declined even if the case was dismissed. ​ ​ INCOME Applicants must be currently employed. Applicants must document that the combined total income for all applicants that will reside in the home exceeds: 3 times the annual rent for the current calendar year 2.5 times the annual rent for last calendar year 2 times the annual rent for the previous calendar year The above does not apply to recent college graduates. Read the details. Income from ex-roommates, ex-husbands, or ex-wives cannot be included unless they apply and will live in the home. Proof of income for self-employed applicants must show a net income. Proof of income can be any combination of tax returns, W2's, or December pay-stubs showing YTD (Year To Date). Proof of income from veterans benefits, child support, alimony, and social security must be legal documents from that governing body. Unemployment assistance is not considered income in our calculation above. For Applicants relocating from another city/state, an Offer Letter from the new employer in this area is required to prove you will be employed upon arriving. The offer letter must state your new monthly/annual salary or hourly wage and hours promised and satisfy the below income requirement. If you plan to keep your current job after relocating we need some documentation to prove the current income will continue. Retirees & Financially Free (See below) ​ ​ INSPECTION We require applicants to complete an in-person inspection before leasing a property. ​ ​ INSURANCE At all times during this Lease Agreement, each person listed on the lease is required to maintain Renters Insurance with a $100,000 minimum Limit of Liability and upload Evidence of Insurance in the Resident's online portal. If insurance coverage expires at any time during this lease, Lessee will be in breach of the Lease Agreement, a $19 penalty per month will be imposed for any month that Evidence of Renters Insurance was not provided. This is per property, not per Resident. If 2 or 3 carry insurance, the one that does not will result in a $19 fee for the property. You can then have the opportunity to rent the upcoming vacancies before they go on the market. ​ ​ PRE-PAID RENT Tenants are welcome to pay rent in advance but that does not change any of the underwriting guidelines on this page or result in discounted rent. ​ ​ RESERVING A HOME We don't reserve homes. We take the first qualified individual or family that signs a lease, pays the deposit & is willing to start paying rent when the home becomes available. If there are multiple applicants interested in the same property, we take the highest qualifying individual or family. ​ ​ RETIRED OR FINANCIALLY FREE Retired or financially free - Applicants with cash reserves that exceed 3 years rent must: Upload original PDF of a financial statement showing that balance & s ign an authorization letter produced by your financial institution so we can verify funds. If you are selling your home and proceeds have not arrived, the closing statement from the attorney or title company will work in place of the bank statement. Provided we can verify with the attorney or title company. Renters bond will be required. ​ ​ SECTION 8 We do not accept section 8 or government assistance vouchers ​ SECURITY DEPOSIT Security Deposit for all properties one month's rent. A Renters Bond may also be required based on credit. We have a referral if needed. How to Pay the Deposit If you plan to get the keys in less than 7 days from the date you pay, you'll need to pay in cash.​ If you plan to get the keys more than a week from the date you pay, have a 700+ credit score, or purchased a Renter's Bond, then you pay with check, debit, or credit. How to Pay in Cash ​ ​ ​ SMOKING Smoking is not permitted inside any of our homes or apartments. Read the Details ​ ​ UNAUTHORIZED OCCUPANTS Anyone that will reside in the home more than 14 days per calendar year must apply and qualify. If we discover someone in the home that is not on the lease, everyone in the home will be asked to leave voluntarily or evicted and there will be an immediate $100 monthly Unauthorized Occupant Fee charged to the Tenant until this is resolved.     Hire Us Labor Cost For everything other than painting and flooring which is bid by the job, if Managers employees perform the work, labor is billed by the ​​hour for everything associated with accomplishing that work, including but not limited to research, inspection, dispatch, project management, driving, ordering, purchasing, delivering, installing, inspecting, cleaning up, bookkeeping, review, and communications with tenants and owners. HOURLY RATES Monday through Friday 8:00am - 5:00pm = $79 .00 5:00pm - 9:00pm = $118 .50 9:00pm - 8:00am = $158 .00 All hours on weekends & holidays $158/hour with a $250 minimum charge Material Cost We purchase material at Home Depot.
